Orders

Packing webshop orders

Staff can see what needs packing, where the items are and what is missing — and the customer gets a label and a tracking number.

  • View and search orders so you quickly find the right one
  • Pick and pack lists with items, quantities and locations
  • Pick and pack in one workflow at the packing bench
  • Scan items while packing so item and quantity match
  • Order status is sent back to the webshop
  • GLS labels are printed and tracking follows the order

Goods in and locations

Incoming goods and fixed stock locations

When items have a fixed place and are registered on arrival, stock levels stop drifting.

Receiving goods

  • Scan the item number or barcode when goods arrive
  • Search by name or item number if the barcode is missing
  • Register quantities per item while unpacking
  • Add a delivery note number if you want to find the delivery again
  • Post the entire receipt in one go when everything is registered

Shelves and positions

  • One warehouse organised with shelves and position numbers
  • QR and position labels to print, so places are clearly marked
  • Scan the position before the item, so quantities land in the right place
  • Move an item to a new location with two scans
  • See which items are stored at a position

Equipment

Start with a phone — expand when it makes sense

The Consitus warehouse terminal is a web app staff open on the phone, with shortcuts to the day's tasks. If you scan a lot, proper scanner equipment can be added afterwards.

  • Pack orders
  • Incoming goods
  • Find and scan items
  • Item locations
  • Stocktaking
  • The phone — the easiest start

The Consitus warehouse terminal opens in the phone browser and can be added to the home screen. The phone camera scans barcodes, and the shortcuts lead straight to the day's tasks.

  • USB scanner at the packing bench

An ordinary USB scanner can be plugged into the computer at the packing bench when many orders are packed in a row.

  • Bluetooth scanner

A wireless scanner can be paired with the phone or tablet, so staff can move freely around the warehouse.

  • Android handheld

If there is scanning all day long, a professional Android handheld can be used with the same warehouse terminal.

Shared phones and terminals are used with a personal PIN and lock automatically after a period of inactivity.

Stock levels

Your warehouse and webshop show the same numbers

Consitus pulls in the same product catalogue as the webshop and sends stock changes back, so you don't update quantities in two places.

  • Physical quantity, reserved quantity and available quantity
  • Adjustments with a reason, so changes can be followed
  • Stock movements showing what happened to an item
  • Webshop products and manually created items in the same catalogue
  • The same product catalogue as the webshop, pulled in automatically
  • Stock changes are sent back to the webshop

Stocktaking

Stocktaking without shutting down for days

Count as you go through the year, or run a full stocktake. Several people can count at the same time, and differences are reviewed before stock is corrected.

  • Rolling counts of selected items, shelves or positions
  • A full stocktake when the whole warehouse needs counting
  • Share the tasks so several people count at the same time
  • Registration on the phone, right where the items are
  • The system quantity is hidden during a full stocktake, so the count is genuine
  • Stock can be locked while counting, so quantities stay put
  • Differences are reviewed and approved before stock is updated

Platforms

Webshop platforms we work with

We always look at your webshop first, so you know what can be pulled in and sent back.

  • Shopify

Consitus can connect with your Shopify webshop for products, orders and stock.

  • Dandomain / SmartWeb

We work with Dandomain and SmartWeb, so stock and orders follow the webshop.

  • WooCommerce

WooCommerce webshops can be connected so products, orders and quantities align.

  • More platforms on the way

We keep expanding. If you use another platform, we look at the options in concrete terms.

Other features

The details that make the day easier

Small things that remove doubt in the warehouse. What you use depends on your product types and how many orders you pack.

  • Items and bills of materials

An item can consist of several parts, so sets and bundles are handled without doing the maths in your head.

  • Stock reports

An overview of stock, movements and differences, so you can see where the warehouse needs tightening up.

  • Scanner and device registration

Phones, scanners and terminals are registered, so you know which devices are in use in the warehouse.

  • Equipment recommendations

We recommend specific scanner equipment that fits your order volume — you don't have to guess.

  • Notifications

A message when something needs attention, for example a receipt or a count that is waiting.

  • Sync conflicts

If the webshop and the warehouse disagree about an item, it is collected as a conflict you can review — instead of a silent error.

  • PIN on shared devices

Shared phones and terminals are used with a personal PIN and lock automatically after inactivity.

  • Labels to print

Print labels for shelves and positions, and for products that need to be scannable.

  • One shared item catalogue

Items, quantities and locations in one place, so everyone works from the same numbers.

The payoff

What you get out of it day to day

Not a big IT project, but a practical solution the warehouse can start using and feel the difference from.

  • Fewer mistakes, because items and quantities are scanned along the way
  • Faster packing, when the location is on the list
  • A better overview of what is in stock and what is reserved
  • Correct stock levels in the webshop, because changes are sent back
  • Less manual work with lists, spreadsheets and double entry
  • The webshop and the physical warehouse stay connected all the way
  • New staff can pack orders without knowing the warehouse in advance
  • Counting becomes an ongoing task instead of one big annual job

Inventory management is a module on Consitus Intranet, so you get a proven foundation of users, roles and permissions — and can add more modules as the business needs them.

FAQ

Questions about inventory management

Do we need special equipment to get started?
No. You can start with the phones your team already has. The Consitus warehouse terminal opens in the browser and can be added to the home screen. Later you can add a USB scanner at the packing bench, a Bluetooth scanner or a professional Android handheld if there is a lot of scanning every day.
Which webshop platforms does Consitus work with?
Consitus can connect with Shopify, Dandomain/SmartWeb and WooCommerce, and more platforms are on the way. If you use a different platform, we look concretely at what the platform gives access to before promising anything.
How does the warehouse stay in sync with the webshop?
Consitus works from the same product catalogue as the webshop. When stock changes through packing, receiving, adjustments or counting, the updated stock level is sent back to the webshop, and order statuses follow along.
How do we pack an order in practice?
The packer finds the order, gets a pick and pack list with locations, scans the items along the way and completes the order. A GLS label can be printed, and tracking follows, so both you and the customer can see the status.
How do we register incoming goods?
Scan the item number or barcode, or search by name or item number. Enter the quantity, optionally add a delivery note number, and post the whole receipt at once when everything is registered.
How does the picker know where an item is?
The warehouse is organised with shelves and position numbers, marked with QR or position labels. The location is shown on the pack list, and staff can scan a position to see which items are stored there.
How does stocktaking work?
You can count on a rolling basis or run a full stocktake. Tasks are shared between staff, quantities are registered on the phone, and during a full stocktake the system quantity is hidden. Stock can be locked while counting, and the result is reviewed and approved before stock levels are updated.
Can several people share the same phone or terminal?
Yes. Shared devices are used with a personal PIN, and the device locks automatically after a period of inactivity, so every registration belongs to the right person.
Is inventory management a standalone system?
No. Inventory management is a module in Consitus Intranet, so you get the same foundation of users, roles and permissions — and can add more modules later.
